Contacts on CRM is designed to manage record of external entities attached to a Customer. It is also extended to be attached to other records such as Employees, Vendors and Leads. Take for example, you have a Customer with the name “Emma John”. You can create two Contacts, one as “Personal Assistant”, and another as “Accountant”. However, it is also possible to link a Contact to multiple records. Same example, the “Personal Assistant” Contact can be linked to an Employee as “Spouse”. This is the beauty of Profitaa Contacts.

Create a Contact: Click the “*NEW” to create a new Contact. When the Contact window opens, fill in the necessary fields and click the photo icon at the right side to update photo (you can do this later too). On the Category, “Prospective Client” represents a Lead Contact, “ERP Record Contact” represents contacts to be linked with other part of the system as explained earlier. While “Business Partner” represents your company partners (not vendors) . Click the “Create!” button when you are done. Once created, it appears on the Contacts list, now lets link a contact.
Link a Contact: Open the newly created Contact, click on the Contact photo, it opens the Contact details window, then click the ⋮ ellipsis (three vertical dots), then click on “Link With“. Use the plus sign “+” to open up the linking pane. Select the type “Customer”, “Vendor”, “Employee”, “Others”. For each you select, you will have the chance to find a related record. For example, selecting “Customer” will give you the chance to select from a list of all your customers (you can find) on the next field “Find Record“. Then enter the link type e.g “Personal Assistant” and click “Save“. All other linked records are displayed on the table below that. You can unlink a record by using the “x” on the record row to remove it.

The linked Contact will appear on the appropriate source, where it was linked to. For example, if you had linked a Contact to a Customer. When you open the Customer dashboard, you will be able to see the Contact on the Customer Contact page.
